Chapter Sign-up
All AMS members are invited to sign-up for the chapter region in which they reside. This will enable chapter leaders for that region to message those members directly about chapter events and activities.
Calendar
Keep abreast of events organized by your regional chapter by subscribing to or regularly consulting the AMS Calendar. The Society calendar is regularly updated and lists events organized by the AMS main office and Society’s study groups and chapters.

This handbook, created specifically to support the work of chapter and study group leaders, provides guidance on AMS policies, financial support, web resources, reporting, and more!
Reporting
AMS Chapter administrators are required to report the following financial and administrative activities:
- Presentations: Papers read at chapter meetings or other events. Please send details (author, institutional affiliation or city of residence, title of paper, date of meeting, photography) to the AMS office as soon as possible after each meeting takes place.
- Annual reports: Administrative and program reports are due in the summer each year. These should summarize recent chapter activities and partnerships, as well as plan for future chapter activities.
- Elections & Appointments: Leadership changes at the chapter level resulting from elections or appointments. This information should include service term length and start / end date of service terms.
- Bylaws changes: Proposed changes to chapter bylaws must be submitted to the AMS office and Board for final approval. No chapter bylaws provision will be approved if it conflicts with the AMS Bylaws.
To submit annual chapter reports, chapter leaders should use the Chapter Reporting Form.
Funding
All AMS chapters receive small annual chapter allotments to help support chapter organizing. Chapters are also eligible to apply for funding from the Society’s Chapter Activities Fund. The Chapter Activities Fund provides partial funding for activities organized by AMS chapters. Chapter leaders are also required and encouraged to raise additional funds from external sources or from other AMS programs. (Note: All external grant applications or other funding requests to non-AMS sources should be coordinated with the AMS office to ensure full regulatory compliance.)

Governance
Council Representatives
AMS Chapters each elect one representative to AMS Council. The term of this office is set by AMS Council (not the chapter) and lasts three years (November to October). Representatives may not be elected to succeed themselves. (By-laws, IV.A.)
AMS Chapters also elect two student members to AMS Council. They are students in doctoral programs in any field of musical scholarship. (Student members are ineligible to participate in voting by the Council.) Student members serve overlapping terms of two years (November to October). One student is elected or chosen in each Chapter each year. Representatives may not be elected to succeed themselves. (By-laws, IV.A.2).
Council Travel Reimbursements
Student chapter Council representatives are eligible to receive up to $650 to reimburse travel costs to attend the Annual Meeting and participate in Council activities. To file for reimbursement, student Chapter Council representatives must complete a reimbursement request using the AMS Payment Request Form. When filling out the payment request form, select “Other” under Program Type and enter “Student Chapter Council Rep Reimbursement” and under “Program Name” enter the name of the chapter.
Financial Management
All AMS chapters are provided with an internal AMS-managed financial account, which may be used to receive donations, dues, and grant funds. Chapter leaders receive regular automated transaction reports about these accounts and may submit request for payment and reimbursement for expenditures that support chapter activities and which are consistent with the Society’s mission.
